ReflexReview AI helps professional service businesses (law firms, dental practices, HVAC/plumbing companies, and others) manage and respond to online reviews. To provide this service, we connect to Google Business Profile, Facebook, and Yelp on your behalf.

2. Information We Collect

From Review Platforms

When you connect your accounts, we may access:

• Google Business Profile: Reviews, reviewer names, star ratings, review text, and business profile information.
• Facebook: Page recommendations/reviews, reviewer names, and review content.
• Yelp: Review notifications (via email forwarding), reviewer names, ratings, and review text.

From Your Use of ReflexReview

• Account information (name, email, business details)
• Brand tone preferences and safety policy settings
• Review response drafts and approval history
• Audit logs of actions taken in the platform

3. How We Use Your Data

We use the collected data only to:

• Fetch new reviews from connected platforms
• Generate AI-powered response drafts
• Allow you to review, edit, and post responses
• Provide safety filtering
• Improve our AI models (only with anonymized data)
• Send notifications about new reviews or escalations

We do not:

• Sell your data
• Use your reviews or customer data for marketing
• Share your data with third parties except as necessary to operate the service

4. Data Sharing and Third Parties

We share data only with:

• Google, Facebook, and Yelp solely to fetch reviews and post responses on your behalf (via official APIs or authorized email forwarding).
• Our hosting providers (Supabase, Vercel, etc.) for secure storage and processing.
• AI providers (for example, OpenRouter) to generate response drafts. Prompts are anonymized where possible.

SMS Messaging Data

Mobile information and SMS opt-in data will not be shared with third parties or affiliates for marketing or promotional purposes.

5. Data Security

• All data is encrypted in transit and at rest.
• Strict Row Level Security (RLS) ensures each business can only access their own data.
• We maintain detailed audit logs of all actions.
• Access is limited to authorized personnel only.

6. Data Retention

• Review data and responses are retained for as long as your account is active.
• You can request deletion of your data at any time.
• After account cancellation, data is retained for 30 days then permanently deleted.

7. Your Rights

You can:

• Access, correct, or delete your data
• Disconnect any review platform at any time
• Request export of your data
• Opt out of AI training (if applicable)
